This Privacy Policy explains how HelpCo AI LLC ("HelpCo AI", "we", "us", or "our") collects, uses, and shares information when you visit helpcoai.com, contact us, request a demo, or use our services. By using our website or services, you agree to this policy.

1. Who we are

HelpCo AI installs and manages "AI employees" (done-for-you automations) for local service businesses in Bradenton, Sarasota, and the surrounding area. Contact: Demo@HelpCoAI.com or 941-941-9930. We serve Bradenton, Sarasota, and the surrounding area.

2. Information we collect

Information you give us

Contact and business details such as your name, business name, email address, phone number, and the city you serve.
The content of messages, forms, demo requests, and any details you choose to share with us.
Booking and scheduling details when you book a demo or appointment.
Billing details if you become a customer (processed by our payment processor; we do not store full card numbers).

Information collected automatically

Basic device and usage data such as IP address, browser type, pages viewed, and referring links, collected through cookies and analytics tools.

Information from service providers

We may receive information from the tools we use to run the service, such as our scheduling, chat, telephony, and payment providers.

3. How we use information

To respond to your inquiries, schedule and run demos, and provide our services.
To operate, maintain, secure, and improve our website and services.
To send you service-related messages (for example, demo confirmations and appointment reminders).
With your consent, to send you marketing or promotional messages, which you can stop at any time.
For billing, record-keeping, fraud prevention, and to meet legal obligations.

4. Text messaging (SMS) and your consent

If you provide your mobile number and opt in, HelpCo AI may send you text messages related to your request, such as demo confirmations, appointment reminders, and, where you have agreed, occasional updates or offers. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

We do not sell your personal information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties. We share information only with the subcontractors that help us deliver the service (for example, our SMS provider), solely so the messaging program can operate.

5. Cookies and analytics

We use cookies and similar technologies to keep the site working, remember preferences, and understand how the site is used. This site uses Google Analytics to measure visits and the Meta pixel to measure how our advertising performs; both set cookies and receive page and event data such as pages viewed, a completed calculator, a booked demo, or a tapped phone number. You can control or disable cookies in your browser settings; some features may not work without them.

6. How we share information

We share information only as needed to run the business:

Service providers that operate parts of our service (for example, telephony and SMS, scheduling, website chat, hosting and content delivery, analytics, and payment processing). They may use the information only to perform services for us.
Legal and safety reasons, such as to comply with law, enforce our terms, or protect rights and safety.
Business transfers, such as a merger, acquisition, or sale of assets, subject to this policy.

As noted above, SMS opt-in and consent data are never shared with third parties for their own marketing.

7. AI phone and voice calls: recording and transcripts

When you call our phone line or use the voice assistant on this website, you are speaking with an AI assistant, and the call is recorded and transcribed. We tell you this at the start of every call. If you do not want to be recorded, please do not continue the call; email us at Demo@HelpCoAI.com or use a contact form instead.

What is captured: the call audio, a written transcript of the conversation, and a short summary of what you asked about.
Where it is kept: our voice provider records the audio and creates the transcript, which are stored on that provider's platform. In our own systems we keep only the short summary and the contact details you gave us, so we can follow up. Our telephone carrier keeps basic call metadata such as the numbers involved, the time, and the duration.
Who can see it: HelpCo AI, and the service providers that operate the service for us, acting on our instructions.
We do not sell your data and we do not use your call recordings or transcripts to sell you to anyone else.
Deletion: you can ask us to delete your recording, transcript, and summary at any time by emailing Demo@HelpCoAI.com. We will remove them from both our voice provider's platform and our own systems.

If you are a client and we run an AI phone assistant for your business, the same applies to your customers' calls. You are responsible for the notice given on your own line, and we will configure a recording disclosure for you.

8. Data retention

We keep personal information for as long as needed to provide the service, meet legal and accounting requirements, and resolve disputes. When it is no longer needed, we delete or de-identify it.

For AI phone and voice calls specifically, we apply the following schedule:

Call audio recordings: deleted after 30 days.
Call transcripts: deleted after 90 days.
Summaries and the contact details you gave us: kept while you are an active lead or customer, plus any period we need for accounting and legal record-keeping.
On request: we delete your recording, transcript, and summary within 10 business days of your asking.

You do not have to wait for a retention period to expire. You can request deletion at any time by emailing Demo@HelpCoAI.com.

9. Your choices and rights

You can opt out of marketing emails using the unsubscribe link, and opt out of texts by replying STOP.
You can ask us to access, correct, or delete your personal information by emailing Demo@HelpCoAI.com.
Depending on where you live, you may have additional rights under laws such as the CCPA or GDPR. We honor applicable rights and will not discriminate against you for exercising them.

10. Third-party links

Our site and messages may link to third-party sites and tools that we do not control. Their privacy practices are their own; please review their policies.

11. Children

Our website and services are intended for businesses and adults. We do not knowingly collect information from children under 18.

12. Security

We use reasonable safeguards to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

13. Changes to this policy

We may update this policy from time to time. We will post the new version here and update the date above. Continued use of the site or services means you accept the updated policy.
